The Next Steps
Q. What do I do to get my property marketed?
- You may need to obtain written permission to let from your mortgage lender, please check with them and advise them of your intentions.
- You will receive an Agency Agreement offering our terms and conditions which we would ask you to sign and return to our offices, along with a questionnaire form.
- If you live outside the UK or spend more than 6 months a year abroad, you will need to complete a Non Resident Landlord (NRL) form in order to apply for approval from the Inland Revenue for us to pay the rent to you without any deductions for tax. We have the relevant documents for you to apply.
- Please ensure that you have appropriate building and contents insurance in place.
- We will require initially one set of keys or access and instructions for viewing arrangements. Please note that additional sets of keys to hand out to tenants will be required, plus an office set if you are having the property managed by Prima Lettings.
- Energy Performance Certificate (EPC) From 1 October 2008 all properties marketed as available to let are required to have this certificate. We need to have a copy on file if you have this or can arrange to get this supplied upon your instructions.
Q. How will tenants be found?
- Once instructed, photographs will be taken and details drawn up for marketing. Our dedicated software system Vebra Premise will match your property to all applicants waiting and details will be sent via email.
- Your property will immediately appear on our website, and within 24 hours on over 30 Internet Property Portals, including Rightmove, Zoopla, Find a Property, Property Finder, Primelocation etc.
- If appropriate a TO LET board can be placed at the property
Q. What happens when a suitable tenant is found?
- Applicants once approved verbally with you, will be referenced by an external credit referencing company.
- If you wish to have a rent guarantee protection against loss of rental income and legal expenses, please advise us at this point and it can be arranged for you.
- We will prepare an inventory and schedule of condition of the property
- If required, A Landlords Gas Safety Certificate will be carried out by our Corgi registered contractors if there are gas appliances at the property.
Q. What is the procedure on completion day?
- The tenants sign the tenancy documents and the Inventory and Schedule of Condition will be given to them either at our offices, or we will meet them at the property and go through this with them.
- A deposit will be taken and this will be held in accordance of The Dispute Service Limited. The deposit is held by Prima Lettings in a separate client account which is ARLA bonded.

- The first month’s rent will also be collected, and this will be paid to you via EFT bank transfer, and you will receive this less fees and charges as outlined in the Agency Agreement.
Q. And during the tenancy?
- We will endeavor to advise the gas, electricity, water and council tax of the tenant’s details if the meter readings are easily available to be read, but cannot guarantee they will act on our instructions.
- The type of management level selected will determine how the tenancy is managed. If you have opted for Full Management, the property will be inspected approximately three times per year, with a report sent to you. Rent will be collected and transferred into your nominated bank account less our monthly management charges. Monthly statements can be posted or emailed to you which ever you prefer.
- Tenancy renewals can be arranged if required, and we will contact the tenant to ascertain as their intentions as the tenancy is coming to an end.
